Ensure prompt, courteous, and caring service to clients by providing accurate and expedient appointment scheduling.
The Guest Service Consultant is responsible for answering and logging all calls that come in, booking clients, restocking retail, keeping the front desk tidy and completing opening and closing procedures.
The Guest Service Consultant possesses excellent oral, written, and computer skills and has a proven track record of functioning independently.
The Guest Service Consultant shall meet the qualifications as indicated below and provide excellent customer service.
Essential Duties 1.
Serves as source of information to clients on medspa offerings and events.
2.
Greets visitors.
Answers and logs telephone calls.
3.
Receives and schedules client appointments.
Resolves scheduling conflicts.
4.
Gathers, compiles and records client booking and check out data.
6.
Monitors cash drawer.
7.
Orders and maintains inventory of supplies.
8.
May perform other duties as assigned.
MAJOR
Responsibilities:
Resourceful team player who can prioritize well, empathize with our clients and take initiative to provide exceptional customer service Scheduling and confirming appointments, managing cancellations, and encouraging rescheduling whenever possible Handling new client memberships; accurately inputting demographic information into Square software; assessing patient concerns to ensure they are booked in the appropriate Medspa program Staying informed and being transparent with clients about their financial responsibility; collecting any outstanding balances or cancellation fees Collaborate and communicate with all departments to ensure the clients are informed on all Priv -Swiss offerings when conducting periodic follow up calls Facilitate needed updates to client's accounts Maintain role as a client advocate Responding quickly and thoroughly to emails and voicemails from both clients and coworkers Responsible for cleaning/restocking before and after treatments.
Participates in educational programs or trainings as requested &/or as appropriate REQUIREMENTS High School diploma/GED equivalent required Minimum 2 years experience in spa, mental health or human services setting Strong social media and computer knowledge Square Software and EMR system experience - willing to train Ability to follow all personnel policies and procedures of the organization Ability to complete all necessary in-service training & ability to become/obtain CPR, First Aid & Mental Health First Aid A passion for wellness and aesthetics Upbeat and positive attitude Outstanding interpersonal skills.
Extraordinary customer service skills with the ability to interact professionally and effectively with all patient care team members (including but not limited to the patient, primary care provider, etc.
).
Demonstrated as a caring and motivated team player.
Demonstrated ability to handle heavy phone volume.
Ability to exercise initiative and use sound independent judgement and critical thinking skills to effectively and appropriately manage the patient/caller interactions.
Ability to utilize active listening skills to accurately assess and direct callers appropriately.
Strong organizational skills with a proven ability to pay attention to detail.
Ability to perform a variety of routine job tasks to meet occasional conflicting demands, time pressure, deadlines and emergencies.
Ability to deal with confidential and sensitive patient information in a professional manner while complying with all HIPAA regulations.
Proven record of exemplary attendance, punctuality, and reliability.
